Purpose
The Purpose of the ASBA’s Website Privacy Policy is to describe the different reasons why the ASBA’s website collects Personal Information and the ASBA’s privacy practices with respect to such Personal Information. The Website Privacy Policy is intended to complement the ASBA’s Privacy Policy by providing additional information to our employees, members and any other person that may utilize the ASBA’s website as to how Personal Information collected through our website is processed and used.
Scope
This Policy outlines the collection, use, and disclosure of Personal Information that is collected via the ASBA website. The Website Privacy Policy is in addition to, and should be read in conjunction with the ASBA’s Privacy Policy.
What information does the ASBA’s website collect and why do we collect it?
Every computer connected to the Internet is given a public “Internet Protocol Address” (“IP address”). This address is also known as an IP number. When a web visitor requests a page from any website within the ASBA network, our web servers automatically record the visitor’s IP address. The IP address reveals the IP address from which you have accessed the ASBA website.
The purposes for which the ASBA collects this information include, but are not limited to:
- Examining our traffic in aggregate;
- Compiling website-usage-statistics; and
- Investigating misuse of our network or cooperating with law enforcement.
The ASBA does not collect or evaluate this information for specific individuals. Further, the ASBA web servers do not automatically record e-mail addresses of visitors.
Does ASBA use cookies?
The ASBA website currently does not use cookies, however from time to time, the ASBA may use cookies to facilitate and improve the quality of our service. Cookies may be used to manage user login authentication and personalize site content. The ASBA does not use cookies to collect demographic information.
You can choose whether to accept cookies by changing the settings of your internet browser. Most browsers are initially setup to accept cookies, but you can reset your browser to refuse all cookies, or allow your browser to show you when a cookie is being sent. If you choose not to accept these cookies your experience on our website may be diminished if and when we choose to use cookies to facilitate and improve the quality of our service.
Will ASBA use my e-mail address?
When you send the ASBA an e-mail, the ASBA will use your name and e-mail address to respond to your question or concern. Your e-mail may be shared amongst association staff to assist in responding to your question or concern. Your e-mail address will only be used for meeting the purposes for which your e-mail address was collected.
What should I know about the links to other websites?
The ASBA website contains many links to other third party websites that take you outside of our service. The ASBA Privacy Policy and Website Policy do not extend to these third party websites. The information practices or the content of such other websites are governed by the privacy statements and policies of those websites. The ASBA encourages its users to review the privacy statements and policies of those websites to understand their information practices.

The contents of the ASBA website are provided for informational purposes only. All information is provided “as is” without any warranties of any kind and the ASBA makes no representation and disclaims all express and implied warranties and conditions of any kind, including, without limitation, representations, warranties or conditions regarding accuracy, completeness, non-infringement quality, performance, merchantability or fitness for any particular purpose and the ASBA assumes no responsibility to you or to any third party for the consequences of any errors or omissions.
The ASBA shall not be liable to you and/or any third party for any damages of any kind arising out of or relating to the rise or performance of this website or its contents including, but not limited to any lost profits, lost opportunities, special, incidental, indirect, consequential or punitive damages, even if advised of the possibility of such damages.
Trademarks
The ASBA’s logo is a trademark or trade name of the Alberta School Boards Association. All other trademarks appearing on any links are the property of their respective owners.
Intellectual Property Notice
The materials located on the ASBA website are protected by copyright, trademark and other forms of proprietary rights and are owned or controlled by the ASBA or the party credited as the provider of the information.
ASBA Privacy policy
Purpose
The purpose of this Privacy Policy is to describe the different reasons why the Alberta School Boards Association (“ASBA”) collects Personal Information and the ASBA’s privacy practices with respect to such Personal Information.
This Privacy Policy is intended to ensure that our employees, our member school boards, their trustees, and their employees (collectively referred to as our “members”), and any other person that may utilize the ASBA’s products, services, or website understand how we treat all Personal Information that may be collected when using our products, services, and our website.
Scope
This Privacy Policy establishes the ASBA’s policies and procedures with respect to all Personal Information collected, used, and disclosed by the ASBA. This Privacy Policy applies to the ASBA and any person providing products or services on our behalf. More specifically, this Privacy Policy applies to all the Personal Information collected, used, and disclosed by the ASBA respecting our employees and members and any other person that utilizes any products or services provided by the ASBA, or accesses the ASBA’s website.
A copy of this Privacy Policy is available on the ASBA’s website and may be provided to any person on request. This Privacy Policy outlines the principles and practices we follow in protecting your Personal Information.
Policy
The Personal Information Protection Act, as amended, governs the collection, use, and disclosure of Personal Information by organizations such as the ASBA. The ASBA is committed to safeguarding the Personal Information entrusted to us by our employees, members and any other person that may utilize the ASBA’s products, services, or website.
What is Personal Information?
“Personal Information” is information about an identifiable individual. This includes an individual’s name, home address and phone number, age, sex, marital or family status, an identifying number, financial information, educational history, etc. The amount and nature of the Personal Information the ASBA may require will depend on the nature of the products or services to be provided to you, but will always only include what is necessary and reasonable. The choice to provide Personal Information is always yours, but choosing not to provide Personal Information may affect the availability and quality of the products and services provided by the ASBA.
The ASBA must comply with applicable laws
The ASBA is responsible for Personal Information under its custody or control. The ASBA has designated the Chief Business Officer, Jan Olson, as the individual responsible for ensuring the ASBA complies with the Personal Information Protection Act. The Chief Business Officer’s contact information can be found at the end of this Privacy Policy.
Why, How and What the ASBA collects
The ASBA collects only the amount and type of Personal Information that is necessary and reasonable to meet the purposes for which the information is collected.
ASBA normally only collects Personal Information about you directly from you. However, ASBA may collect your Personal Information from other persons with your consent or as authorized by law.
We will inform you, before or at the time of collecting Personal Information of the purpose for which we are collecting your Personal Information and the name of the person who is able to answer questions on behalf of the ASBA about the collection of your Personal Information.
We will inform you of any new purpose for which your Personal Information will be used or disclosed, if the purpose changes from the time of initial collection, and seek your consent for such use or disclosure. The only time ASBA will not provide this notification is when Personal Information is voluntarily provided for an obvious purpose (for example, producing a credit card to pay a membership fee when the information will be used only to process the payment), or as authorized by law.
The types of Personal Information ASBA may collect, includes, but is not limited to:
- contact information, including name, home address, telephone number, and email address;
- credit card, or other financial information; and
- employment information (from employees) including resume, reference information, interview notes, letters of offer and acceptance of employment, pay roll deposit information and tax-related information.
Personal Information is collected by the ASBA for the purpose of providing products and services to its members and any other person. The collection of Personal Information may include, but is not limited to, the information needed to:
- Open and manage an account;
- Deliver requested products and services;
- Enroll/register members in a program;
- Contact members about appointments, meetings, and projects;
- Follow up with members to determine satisfaction with products and services which may also include conducting surveys;
- Conduct surveys to evaluate the desire for future projects/programs;
- Managing our relationship with members;
- Notify members of upcoming events of interest;
- Meet legislative requirements;
- Prepare historical/archival materials;
- Publish photographs of ASBA and ASBA-sponsored events;
- Circulate attendance information at ASBA events and seminars;
- Highlight and profile members and member accomplishments;
- Respond to questions, comments, or concerns;
- Publish member business contact information; and
- Such other purposes consistent with the foregoing purposes.
In addition, the ASBA’s website collects information that is reasonable and necessary for its purposes. These purposes include, but are not limited to:
- Examining our traffic in aggregate;

Consent
The ASBA asks for your consent to collect, use, and disclose your Personal Information for the purposes identified within this Privacy Policy, except in specific circumstances where collection, use, or disclosure without consent is authorized or required by law. We may assume your consent in cases where you volunteer information for an obvious purpose. The ASBA is operating on the understanding that it has your consent to collect, use, and disclose your Personal Information that we have already collected, for the purpose for which the information was collected. If and when the ASBA’s website uses cookies to facilitate and improve the quality of our service, any user of the website may choose whether or not to accept cookies through their internet browser. We ask for your express consent for some purposes and may not be able to provide certain services if you are unwilling to provide consent to the collection, use of disclosure of some Personal Information.
Withdrawal or variance of consent
You may withdraw or vary consent to the collection, use, or disclosure of your Personal Information at any time by providing the ASBA with reasonable notice of the withdrawal or variation of your consent, subject to any legal obligations. Upon receipt of your notice to withdraw or vary consent, we will inform you of the likely consequences of withdrawing or varying your consent, unless the likely consequences of withdrawing or varying your consent are reasonably obvious. For example, your decision to vary or withdraw consent may limit the products and services the ASBA can offer, and may make it more difficult for the ASBA to provide you with information.
How is your Personal Information used and disclosed?
The ASBA uses and discloses your Personal Information only to the extent that is reasonable for meeting the purposes for which the information is used or disclosed, or as authorized by law. Such purposes are listed in Section 3.3 of this Policy and include: to maintain your membership, to communicate with you, to deliver products and services to you, and to provide you with information. The ASBA will not use or disclose Personal Information, except with your consent or as authorized by law.
Accuracy of Personal Information
The ASBA makes every reasonable effort to maintain accurate and complete Personal Information for the purposes for which it is collected, used, or disclosed. The ASBA relies on its employees and members to notify us if there is a change to their Personal Information that may affect their relationship with the ASBA. If you are aware of an error or omission in our information about you, please let us know and we will correct it on request wherever possible. The law permits individuals to submit written requests to us to correct errors or omissions in their Personal Information that is in our custody or control.
We will:
- Correct the Personal Information and, if reasonable to do so, send correction notifications to any other organizations to whom we disclosed the incorrect information; or
- Decide not to correct the Personal Information but annotate the Personal Information that a correction was requested but not made.
We will respond to your request within 45 calendar days, unless an extension is granted. We will not charge a fee for correcting Personal Information.

Access to records containing Personal Information
Individuals have a right to access their own Personal Information in a record that is in the custody or under the control of the ASBA, subject to some exceptions. For example, organizations are required under the Personal Information Protection Act to refuse to provide access to information that would reveal Personal Information about another individual.
You may make a request for access to your Personal Information in writing to the Chief Business Officer, Jan Olson. You must provide sufficient information in your request to allow us to identify the information you are seeking. The contact information for the Chief Business Officer is found at the end of this Privacy Policy.
You may also request information about our use of your Personal Information and any disclosure of that information to persons outside our organization.
We will respond to your request within 45 calendar days, unless an extension is granted in accordance with the Personal Information Protection Act. We may charge a reasonable fee to provide information. We will advise you of any fees that may apply before beginning to process your request.
We do not charge fees when the request is for personal employee information.
If we refuse a request in whole or in part, we will provide the reasons for the refusal. In some cases where exceptions to access apply, we may withhold that information and provide you with the remainder of the record.
How does the ASBA safeguard Personal Information?
The ASBA protects Personal Information by security safeguards appropriate to the sensitivity of the information. The ASBA makes reasonable security arrangements against such risks as unauthorized access, collection, use, disclosure, copying, modification, disposal, or destruction of Personal Information. The ASBA will not sell, rent, or give away your Personal Information. The ASBA does contract with certain service providers approved by the ASBA and all suppliers are bound by strict contractual obligations designed to protect the privacy of your Personal Information, in compliance with this Policy and applicable privacy legislation. ASBA employees are informed of the importance of protecting your privacy. Employees are expected to maintain the confidentiality of ASBA member and other person’s information at all times, in compliance with this Policy and applicable privacy legislation.
With respect to Personal Information stored electronically, access to such information is password protected and in some cases, accessed only through biometrical security measures. With respect to Personal Information stored on a hard copy, the ASBA stores such information in its office for use by its staff for the purposes outlined in this Privacy Policy. Archival material is secured under locked storage. We retain Personal Information only as long as is reasonable to fulfil the purposes for which the information was collected, or for legal or business purposes.
We will notify the Office of the Information and Privacy Commissioner of Alberta, without delay, of any incident involving the loss of or unauthorized access to or disclosure of Personal Information if it creates a real risk of significant harm to individuals as a result of the loss or unauthorized access or disclosure.
What privacy practices does the ASBA use in the administration of its website?
The practices outlined in this Privacy Policy also apply to the ASBA’s website. Additionally, we have a Website Privacy Policy that considers matters relevant to those who access the ASBA’s website (above).
